Process Flow &
Digital Adoption

You've invested in the systems...

So why is your team still working around them?

Process Flow & Digital Adoption is for organisations where digital tools are in place, but the manual effort, email chains and workarounds never quite went away.

We redesign how work actually flows through your existing systems, and where it makes practical sense, we help you harness automation and AI to go further. No hype, no new systems - just smarter use of what you already have.

Does this sound familiar?

  • Your team is using spreadsheets, shared inboxes and email chains alongside systems that should be doing that job.

  • A system went live, but the workload didn't reduce. If anything, it increased.

  • Digital tools are being used inconsistently across the team - everyone has their own workaround.

  • Knowledge about how the system works sits with one or two people. If they left, you'd be in trouble.

  • You've got Microsoft 365 (e.g. SharePoint, Teams, Power Automate, Copilot) but you're not using it to anywhere near its potential.

  • Everyone's talking about AI but your processes aren't in good enough shape to make use of it yet.

This isn't a technology problem. It's a process and adoption problem, and it's much more straightforward to fix than most teams think.

What we actually do together

We start by understanding how your team actually uses your systems day to day -  not how they're supposed to be used. From there, we redesign the workflow around the tools you already have, removing duplication, automating manual steps, and making sure the whole team is working the same way.

Becky works directly with the people doing the work (not just the managers) because that's where the real picture of how systems are being used (and worked around) comes from.

Most teams see a significant reduction in manual effort within weeks. The changes are documented in practical SOPs so the improvements don't depend on any one person to maintain them.

Who this is for

  • HR admin & delivery teams

  • L&D & OD operational teams

  • Recruitment admin & delivery teams

  • Operations leads managing people processes

This solution works best for teams who have the systems but aren't getting the value from them, particularly those using Microsoft 365 tools including SharePoint, Power Automate, Microsoft Lists and Teams.

It also works well when a senior leader wants to reduce their team's manual burden and build resilience without a costly new system implementation.

What this solution typically includes...

  • Current-state review of how systems are actually being used in practice.

  • End-to-end workflow redesign using your existing digital tools.

  • Removal of duplicate processes, parallel tracking and manual workarounds.

  • Automation of repetitive steps using Power Automate or equivalent tools.

  • Establishment of a single source of truth, usually SharePoint.

  • Clear expectations and documentation for consistent system use across the team.

  • Practical SOPs so the improvements are owned and sustained by the team.

  • Scope is agreed in advance. Work is delivered using tools you already have (no new system procurement required).

Ready to make AI actually useful?

Most teams know they should be doing something with AI, but they're not sure where to start, and their current processes aren't set up to support it.

The good news: once your workflow is clear and your digital tools are working properly, AI becomes genuinely accessible. We help you identify where it can make a practical difference and build it into how your team works day to day, not just as a one-off experiment.

This might include:

  • Using AI tools to draft, summarise or categorise routine communications and documents.

  • Identifying repetitive decision points in your workflow where AI can reduce effort and improve consistency.

  • Building practical AI habits into your team's everyday processes - starting small, with real impact.

  • Making sure your team has the confidence and understanding to use AI tools responsibly and effectively.

This isn't about replacing people or chasing the latest trend. It's about making sure your team is working as smartly as possible, and not leaving real capacity on the table.

Expected Outcomes

0 → 14

manual steps fully automated in one recent project

48 → 30

total process steps reduced

WEEKS

not months - typical time to visible improvement

  • Significantly reduced manual effort and repetitive admin.

  • Consistent system use across the whole team, not just the power users.

  • A single source of truth that everyone works from.

  • Digital tools and AI that support how work actually flows, not the other way around.

  • A team that owns and can maintain the improvements independently.

Case Study 1:
L&D Team, Large Organisation

The situation: An L&D team was delivering a high-volume programme using a fragmented mix of email, spreadsheets, an external portal and individual memory. The process had 48 manual steps and zero automation. The external portal was being decommissioned, a senior team member was due to leave, and the team had no formal process documentation or cross-cover structure in place. Everything was at risk.

What we did: Becky facilitated a series of structured workshops using the Lean Six Sigma DMAIC framework. Working with the team end to end, they mapped the current process, identified root causes of inefficiency, and co-designed a practical future-state model built entirely on existing Microsoft 365 tools - SharePoint, Power Automate and Microsoft Lists. No new systems. No costly procurement.

What changed:

  • 48 → 30 manual process steps

  • 0 → 14 fully automated tasks

  • Single SharePoint source of truth established

  • Full SOP and process maps documented

  • Team cross-cover resilience built in

  • Delivered in under 8 weeks

The team went from a process entirely dependent on individual knowledge and a failing portal, to a structured, automated and fully documented model - with real-time monitoring and clear ownership at every stage. Team members also developed new process mapping and root cause analysis skills, which they are now applying to other parts of their work.

"The programme helped us clarify our processes and take a more coherent, joined-up approach, including how digital tools in Office 365 support the flow of our work."- Process Improvement Client, Senior Manager
